Privacy Policy
Who we are
Sentwick is a website monitoring service operated by H.F. Tech Consulting (“we”, “us”). This policy explains what we collect when you use Sentwick, why, who we share it with, how long we keep it, and what you can ask us to do with it. Questions go to hftechconsulting@gmail.com.
What we collect
- Account details — your email address, your name if you give it, and your sign-in details. If you sign in with Google, we receive your name and email address from Google. Passwords are handled by Firebase Authentication; we never see them.
- Workspace details — your workspace's name, the email addresses you choose to receive alerts, your teammates' email addresses and roles, and the email addresses of people you invite.
- Client details — the client names and contact email addresses you enter.
- What you monitor — the website addresses you add, any text you ask us to look for on a page, and the results of our checks (whether the site was up, response times, status codes, and certificate and domain expiry dates), plus the incidents and daily summaries we build from them.
- Billing — payments are handled by Stripe. We store your Stripe customer and subscription IDs, your plan, billing period and payment status. We never see or store your full card number.
- Technical logs — basic server and error logs (which can include IP addresses) that our hosting provider keeps so we can run, debug and secure the service.
How we use it
To run the checks you set up, send the alerts and reports you ask for, let your team work together, bill you, answer your questions, and keep Sentwick secure and working. We also send account and billing emails, like invitations, ownership changes and failed-payment notices. We don't sell your data, we don't use it for advertising, and we don't send marketing emails.
Your data and your clients' data
For your own account and billing details, H.F. Tech Consulting is responsible for your data (the “controller”). For the client names, client contact emails and teammate details you enter, you decide what goes in and why, and we process it on your behalf and only to provide Sentwick (we're the “processor”). That means you're responsible for having your clients' permission to store their details with us and to send them alerts and reports.
Who we share it with
Only the providers that make Sentwick work. Each processes data only on our behalf:
- Google Cloud / Firebase — hosting, database and sign-in (Firebase Authentication, including Sign in with Google).
- Resend — delivering our emails, so it receives recipient addresses and email contents.
- Stripe — payments and the billing portal.
- Healthchecks.io — tells us if our own checking system stops running. It receives only a regular “still alive” signal, never your data or anyone's personal information.
We may also disclose data if the law requires it, or to protect the security of the service or other people.
Cookies and browser storage
We use one essential cookie, sentwick_session, which keeps you signed in. It's marked httpOnly, so scripts on the page can't read it. Firebase Authentication also stores sign-in information in your browser while you're signed in. We don't use analytics, advertising or tracking cookies, so there's nothing to opt out of.
How long we keep it
- Raw check results are deleted automatically after 14 days.
- Everything else — your account, workspace, clients, sites, daily summaries and incidents — is kept until you delete it or ask us to. Deleting a site or client in Sentwick removes its history and incidents straight away.
- Closing your account. There's no self-serve button for this yet: email us and we'll delete your account and workspace data within 30 days of your request.
- Billing records are kept by us and Stripe for as long as tax and accounting laws require, even after your account is closed.
Where your data is stored
Sentwick and the providers above are based in the United States, and your data may be stored and processed there or in other countries where they operate. If you're outside the US, using Sentwick means your data is transferred to the US.
Your rights
You can ask us to access, correct, export or delete your personal data at any time. There's no in-app export or account deletion yet, so email hftechconsulting@gmail.com from the address on your account and we'll respond within 30 days. You can correct most details, like your workspace name and alert emails, yourself in Settings. If one of your clients asks us about their data, we'll pass the request to you, since you control it.
Security
Data is encrypted in transit (HTTPS) and at rest by our hosting provider. Access within a workspace is limited by role, every change is checked on our servers, and sign-in is handled by Firebase Authentication. No system is perfectly secure, but if we learn of a breach affecting your data, we'll tell you without undue delay.
Children
Sentwick is a business tool and isn't meant for anyone under 16. We don't knowingly collect data from children; if you think we have, email us and we'll delete it.
Changes
We'll update this policy as Sentwick changes and change the date at the top. If a change is significant, we'll email workspace owners before it takes effect.
